This is the privacy statement for visiting a workshop of the Holosophic Society International at a Lighthouse Center®.
What is a privacy statement?
The Holosophic Society International (HSI) protects your privacy in the best possible manner. Privacy protection does not only mean that your personal information is safely processed but also that you, as a participant of the HSI workshop, have a clear understanding of how your personal information is used.
This privacy statement provides insight in how your personal data is processed by the HSI based on the following questions:
- Who is the HSI?
- What personal data does the HSI process and for what purpose?
- How long is my personal data stored by the HSI?
- Will my personal data be shared with third parties?
- How does the HSI protect my personal data?
- I want to correct my personal data or even have it deleted completely from the HSI files. How does that work?

- Who is the HSI?
The HSI is a non-profit organization working for the wellbeing of people on the personal level as well as on a community level. The Holosophic idea works at three levels: body, mind and soul. The aim is to strike a balance among all three.

- What personal data is processed and for which purpose?
First of all, what does processing mean? The term “processing” is very broad. It essentially means anything that is done to, or with, personal data (including simply collecting, storing or deleting those data). This definition is significant because it clarifies the fact that EU data protection law is likely to apply wherever an organization does anything that involves or affects personal data.
This privacy statement covers the processing of all personal data that is processed by the HSI when you attend a workshop at a Lighthouse Center®. During the workshop you will get the chance to explore the ideals of the society as well as get an insight into the teachings of Sant Mat. When attending the workshop, the following personal data is processed:
Identifying personal data – This is data that enables the HSI to identify you. This type of information is also used by the HSI to communicate with you or, when needed, emergency contacts. When attending an HSI workshop at a Lighthouse Center®, the following identifying personal data is processed:
Name;
Address;
Email address;
Telephone number;
Gender;
Language;
Date of birth.
Your identifying personal data will be used only for the following purposes when visiting an HSI workshop:
Your information will be used to check the attendance list of the workshop you visit and address any questions you may have or have had during your presence at the workshop.
Travel logistics, itineraries and meals – Information about your travel schedule when visiting the workshop.
Arrival/departure date & time;
Travel arrangements between public transportation and the Lighthouse Center® (e.g. pick up service);
Choice of meals: Vegetarian, vegan, gluten-free.
Personal data concerning health status – HSI workshops are held at remote locations; therefore the HSI needs to be aware of your physical and mental condition. When attending an HSI workshop, the following data concerning health status is processed:
Physical handicaps / limitations plus any medication you may use for that matter;
Mental handicaps / limitations or sudden behavioral changes plus any medication you may use for that matter;
Allergies;
Dietary requirements prescribed by a medical doctor.
The personal data about your health status are only used to see if you are fit enough to attend to a workshop, participate in activities and to accommodate your needs during your stay.
Emergency contacts:
Contact(s) next of kin;
Name of physician (if needed).
The lawful basis for the processing of your personal data is based on the agreement between you and the HSI for attending the workshop.
- How long is your personal data stored by the HSI?
You can always “unsubscribe” from information that you receive via email from the HSI. If you want to be deleted from all HSI files and databases, you can contact the HSI as described in section 7.
Attendance lists may be kept up to 10 years.
- Will your personal data be shared with other third parties?
Your information will not be shared with third parties.
- How does the HSI protect your personal data?
The HSI has implemented technical and organizational measures to safeguard the confidentiality, integrity and availability of your personal data.
Technical measures – The HSI has implemented an information security policy that will minimize the risks of processing your personal data with regards to confidentiality, integrity and availability. The HSI uses Google Drive to store your data.
Organizational measures – All volunteers who process personal data within the HSI do so according to the HSI privacy code of conduct.
Data breaches – The HSI will notify the competent data privacy authority in case a data breach occurs. The HSI will also contact you without undue delay if the data breach can result in severe disadvantages on your behalf in order to minimize possible damage.
Help us to keep your data safe – The chance that a data breach occurs can never be eliminated, despite all the measures the HSI has implemented. In case you suspect something is wrong, please contact us immediately.
- How can you access, rectify or erase your personal data?
Right of access: You have the right to ask the HSI to provide you with an overview of all your personal data that is processed by the HSI. This request needs to be done in writing or via email.

The HSI will send the requested information to you as soon as possible with a maximum of 4 weeks. This will be done free of charge.
Right to rectification: Based on the information that the HSI will send you when exercising your right of access, you ask the HSI to rectify your personal data. This is when your personal data is factually wrong.
Right to erasure: You can ask the HSI to remove specific or all your personal data from their files. When exercising these rights, you need to take into consideration that the HSI may not be able to erase all your personal data. For some personal information, the HSI needs to follow a lawful retention period.
