    The HSI is a non-profit organization working for the wellbeing of people on the personal level as well as on a community level. The Holosophic idea works at three levels: body, mind and soul. The aim is to strike a balance among all three.

  1. What personal data is processed and for which purpose?

First of all, what does processing mean? The term “processing” is very broad. It essentially means anything that is done to, or with, personal data (including simply collecting, storing or deleting those data). This definition is significant because it clarifies the fact that EU data protection law is likely to apply wherever an organization does anything that involves or affects personal data.

This privacy statement covers the processing of all personal data that is processed by the HSI when you attend an HSI workshop at a Lighthouse Center®. In a workshop you will get the chance to explore the ideals of the society as well as get an insight into the teachings of Sant Mat. When attending the workshop, the following personal data is processed:

 

Identifying personal data – This is data that enables the HSI to identify you. This type of information is also used by the HSI to communicate with you or, when needed, emergency contacts. When attending an HSI workshop, the following identifying personal data is processed:


Name;

Address;

Email address;

Telephone number;

Gender;

Language;

Date of birth.

Your identifying personal data will be used only for the following purposes when visiting an HSI workshop:

Your information will be used to check the attendance list of the workshop you visit and address any questions you may have or have had during your presence at the workshop.

 

Travel logistics, itineraries and meals – Information about your travel schedule when visiting the workshop.

Arrival/departure date & time;
Travel arrangements between public transportation and the Lighthouse Center® (e.g. pick up service);
Choice of meals: Vegetarian, vegan, gluten-free.

 

Personal data concerning health status – HSI workshops are held at remote locations; therefore the HSI needs to be aware of your physical and mental condition. When attending an HSI workshop, the following data concerning health status is processed:

 

Physical handicaps / limitations plus any medication you may use for that matter;
Mental handicaps / limitations or sudden behavioral changes plus any medication you may use for that matter;
Allergies;
Dietary requirements prescribed by a medical doctor.

The personal data about your health status are only used to see if you are fit enough to attend to a workshop, participate in activities and to accommodate your needs during your stay.

 

Emergency contacts:

Contact(s) next of kin;

Name of physician (if needed).

The lawful basis for the processing of your personal data is based on the agreement between you and the HSI for attending the workshop.

 

  1. How long is your personal data stored by the HSI?

You can always “unsubscribe” from information that you receive via email from the HSI. If you want to be deleted from all HSI files and databases, you can contact the HSI as described in section 7.

Attendance lists will be deleted latest 3 months after the workshop has finished.

 

  1. Will your personal data be shared with other third parties?

Your personal data – first name, last name – collected for the purpose of visiting a workshop will be shared with the national representative of your country.

 

  1. How does the HSI protect your personal data?

The HSI has implemented technical and organizational measures to safeguard the confidentiality, integrity and availability of your personal data.

Technical measures – The HSI has implemented an information security policy that will minimize the risks of processing your personal data with regards to confidentiality, integrity and availability. The HSI uses google drive to store your data (access from the United States is possible).

Organizational measures – All volunteers who process personal data within the HSI do so according to the HSI privacy code of conduct.

Data breaches – The HSI will notify the competent data privacy authority in case a data breach occurs. The HSI will also contact you without undue delay if the data breach can result in severe disadvantages on your behalf in order to minimize possible damage.

Help us to keep your data safe – The chance that a data breach occurs can never be eliminated, despite all the measures the HSI has implemented. In case you have the feeling that something is wrong with the way we process your data, please contact us immediately.

 

  1. How can you access, rectify or erase your personal data?

Right of access: You have the right to ask the HSI to provide you with an overview of all your personal data that is processed by the HSI. This request needs to be done in writing or via email.

The HSI will send the requested information to you as soon as possible with a maximum of 4 weeks. This will be done free of charge.

Right to rectification: Based on the information that the HSI will send you when exercising your right of access, you ask the HSI to rectify your personal data. This is when your personal data is factually wrong.

Right to erasure: You can ask the HSI to remove specific or all your personal data from their files. When exercising these rights, you need to take into consideration that the HSI may not be able to erase all your personal data. For some personal information, the HSI needs to follow a lawful retention period.

    Reisepläne, Reiserouten und Verpflegung – Informationen über Ihren Reiseplan für den Besuch des Workshops.
    Ankunfts-/Abfahrtsdatum und -zeit
    Reiseorganisation zwischen den öffentlichen Verkehrsmitteln und dem Lighthouse Center® (z.B. Abholservice).
    Auswahl an Speisen: vegetarisch, vegan, glutenfrei

    Persönliche Daten zum Gesundheitszustand – Die HSI-Workshops finden an abgelegenen Orten statt; deshalb muss die HSI über Ihre körperliche und geistige Verfassung Bescheid wissen. Bei der Teilnahme an einem HSI-Workshop werden die folgenden Daten zum Gesundheitszustand verarbeitet:

    Körperliche Behinderungen/Einschränkungen sowie alle Medikamente, die Sie eventuell dafür einnehmen;
    Psychische Behinderungen/Einschränkungen oder plötzliche Verhaltensänderungen sowie alle Medikamente, die Sie eventuell dafür einnehmen;
    Allergien;
    Ärztlich verordnete Diätvorschriften;
    Die persönlichen Daten über Ihren Gesundheitszustand werden nur verwendet um festzustellen, ob Sie gesund genug sind, um einen Workshop zu besuchen, an Aktivitäten teilzunehmen und um Ihre Bedürfnisse während Ihres Aufenthalts zu erfüllen.

    Notfall Kontakt:
    Kontakt/e zum/zu den nächsten Angehörigen;
    Name des Arztes (falls erforderlich);
    Die Vereinbarung zwischen Ihnen und der HSI über die Teilnahme am Workshop bildet die gesetzliche Grundlage für die Verarbeitung Ihrer persönlichen Daten.

 

  1. Wie lange bleiben Ihre persönlichen Daten bei der HSI gespeichert?
    Sie können jederzeit Informationen, die Sie per E-Mail von der HSI erhalten, abbestellen. Wenn Sie aus allen HSI-Dateien und Datenbanken gelöscht werden möchten, können Sie die HSI wie in Abschnitt 7. beschrieben, informieren.
    Die Anwesenheitslisten werden spätestens drei Monate nach Beendigung des Workshops gelöscht..

    Ihre persönlichen Daten – Vorname, Nachname -, die für den Besuch eines Workshops erhoben werden, werden den Nationalen Repräsentanten Ihres Landes weitergegeben.

 

  1. Wie schützt die HSI Ihre persönlichen Daten?
    Die HSI hat technische und organisatorische Maßnahmen ergriffen, um die Vertraulichkeit, Richtigkeit und Verfügbarkeit Ihrer personenbezogenen Daten zu gewährleisten.
    Technische Maßnahmen- Die HSI hat eine Informationssicherheitspolitik eingeführt, die das Risiko der Verarbeitung Ihrer persönlichen Daten hinsichtlich Vertraulichkeit, Richtigkeit und Verfügbarkeit minimiert. Die HSI verwendet Google Drive zur Speicherung Ihrer Daten (Zugriff aus den USA möglich).
    Organisatorische Maßnahmen – Alle Freiwilligen, die personenbezogene Daten innerhalb der HSI verarbeiten, tun dies gemäß dem HSI Verhaltenskodex.
    Datenschutzverletzungen – Die HSI wird die zuständige Datenschutzbehörde benachrichtigen, wenn eine Datenschutzverletzung vorliegt. Die HSI wird sich auch unverzüglich mit Ihnen in Verbindung setzen, falls die Datenschutzverletzung zu schwerwiegenden Nachteilen für Sie führen kann, um mögliche Schäden zu minimieren.
    Helfen Sie uns dabei, Ihre Daten sicher zu verwahren – Das Risiko einer Datenschutzverletzung kann trotz aller von der HSI ergriffenen Maßnahmen nie ausgeschlossen werden.   1. ¿Qué datos personales se procesan y con qué finalidad?

Antes que nada, ¿qué significa procesar? El término “procesar” es muy amplio. Básicamente significa todo aquello que se hace para, o con datos personales (incluyendo simplemente recopilar, almacenar o eliminar esos datos). Esta definición es significativa porque clarifica el hecho de que la ley de protección de datos de la UE es aplicable allí donde una organización haga algo que involucre o afecte a datos personales.

Esta declaración de privacidad abarca el procesamiento de todos los datos personales procesados por HSI cuando tú participas en un taller de HSI en un Lighthouse Center®. En un taller tienes la oportunidad de explorar los ideales de la asociación, así como obtener una comprensión de las enseñanzas de Sant Mat. Cuando participas en el taller se procesan los siguientes datos personales.

 

Datos personales de identificación – Son datos que permiten a HSI identificarte. Este tipo de información también la utiliza HSI para comunicarse contigo o, si fuese necesario, para contactos de emergencia. Cuando participas en un taller de HSI se procesan los siguientes datos personales de identificación:


Nombre;
Domicilio;
Dirección de correo electrónico;
Número de teléfono;
Género;
Idioma;
Fecha de nacimiento.

 

Tus datos personales de identificación se usarán solo para los siguientes propósitos cuando participes en un taller de HSI:

Tu información se usará para comprobar la lista de asistentes del taller en que participas y para responder a cualquier pregunta que pudieras tener o hayas tenido durante tu presencia en el taller.

 

Logística de viajes, itinerarios y comidas – Información sobre tu programa de viaje cuando asistes al taller.

Fecha & hora de llegada/salida;
Planes de viaje entre el transporte público y Lighthouse Center® (p. ej. servicio de traslado);
Elección de las comidas: vegetariano, vegano, sin gluten.

 

Datos personales en relación con tu estado de salud – Los talleres de HSI se llevan a cabo en lugares remotos. Por eso, HSI debe estar en conocimiento de tu condición física y mental. Cuando participas en un taller de HSI se procesan los siguientes datos en relación con tu estado de salud.

 

Discapacidades o limitaciones físicas, además de cualquier medicamento que estés tomando en este sentido;
Discapacidades o limitaciones mentales o cambios bruscos de comportamiento, además de cualquier medicamento que estés tomando en este sentido;
Alergias;
Necesidades dietéticas prescritas por un médico.
Los datos personales sobre tu estado de salud solo se usan para ver si eres lo suficientemente apto para asistir a un taller, participar en actividades y para cubrir tus necesidades durante tu estancia.

 

Contactos de emergencia:
Contactos de familiares;
Nombre de tu médico (si procede).
El fundamento legal para procesar tus datos personales tiene su base en el acuerdo entre tú y HSI para participar en el taller.

 

  1. ¿Cuánto tiempo almacena HSI tus datos personales?
    Siempre puedes “cancelar” la información que recibes de HSI por correo electrónico. Si quieres ser borrado de todos los archivos y bases de datos de HSI, puedes contactar con HSI como se describe en el apartado 7.
    Las listas de asistencia se eliminarán, a más tardar, 3 meses después de haber finalizado el taller.

 

  1. ¿Se compartirán tus datos personales con terceras personas?

Tus datos personales (nombre y apellidos) recopilados con el propósito de participar en un taller se compartirán con el representante nacional de tu país.

 

  1. ¿Cómo protege HSI tus datos personales?
    HSI ha implementado medidas técnicas y organizativas para salvaguardar la confidencialidad, integridad y disponibilidad de tus datos personales.
    Medidas técnicas – HSI ha implementado una política de seguridad de la información que minimizará el riesgo de procesar tus datos personales con respecto a la confidencialidad, integridad y disponibilidad. HSI utiliza google drive para almacenar tus datos (el acceso es posible desde los Estados Unidos).
    Medidas organizativas – Todos los voluntarios que procesan datos personales dentro de HSI lo hacen de acuerdo con el código de conducta de privacidad de HSI.
    Violaciones de datos – HSI notificará a la autoridad competente de la privacidad de datos en caso de que ocurra una violación de datos. HSI también contactará contigo sin retrasos indebidos si la violación de datos pudiera resultar en graves perjuicios a nombre tuyo, con el fin de minimizar los posibles daños.
    Ayúdanos a mantener tus datos seguros – El riesgo de que ocurra una violación de datos nunca se puede eliminar, a pesar de todas las medidas que ha implementado HSI. En caso de que tengas alguna razón o causa de que algo no está correcto en la manera que procesamos tus datos, por favor ponte en contacto con nosotros inmediatamente.
  2. ¿Cómo puedes acceder, rectificar o eliminar tus datos personales?
    Derecho de acceso: tienes el derecho de pedir a HSI que te facilite un resumen de todos tus datos personales que procesa. Esta petición debe formalizarse por escrito o por correo electrónico.

    HSI te enviará la información solicitada tan pronto como sea posible, en un plazo máximo de 4 semanas. Esto se hará sin coste alguno.
    Derecho a la rectificación: Basado en la información que HSI te enviará cuando ejerzas tu derecho de acceso, pedirás a HSI que rectifique tus datos personales. Esto será cuando tus datos sean incorrectos.
    Derecho de eliminación: Puedes solicitar a HSI que elimine datos específicos o todos tus datos personales de sus archivos. Cuando ejerzas estos derechos tienes que tener en consideración que es posible que HSI no pueda eliminar todos tus datos personales, debido a que el periodo de retención legal se aplica a ciertos datos personales.

What is a privacy statement?

The Holosophic Society International (HSI) protects your privacy in the best possible manner. Privacy protection does not only mean that your personal information is safely processed but also that you, as a participant of the HSI workshop, have a clear understanding of how your personal information is used.

This privacy statement provides insight in how your personal data is processed by the HSI based on the following questions:

  1. Who is the HSI?
  2. What personal data does the HSI process and for what purpose?
  3. How long is my personal data stored by the HSI?
  4. Will my personal data be shared with third parties?
  5. How does the HSI protect my personal data?
  6. I want to correct my personal data or even have it deleted completely from the HSI files. How does that work?
  7. Who can I contact if I have any questions with regards to privacy and the HSI?
  8. Where can I report a possible data breach?
  9. Where can I address complaints about how the HSI is processing my personal data?

 

  1. Who is the HSI?
    The HSI is a non-profit organization working for the wellbeing of people on the personal level as well as on a community level. The Holosophic idea works at three levels: body, mind and soul. The aim is to strike a balance among all three.

  1. What personal data is processed and for which purpose?

First of all, what does processing mean? The term “processing” is very broad. It essentially means anything that is done to, or with, personal data (including simply collecting, storing or deleting those data). This definition is significant because it clarifies the fact that EU data protection law is likely to apply wherever an organization does anything that involves or affects personal data.

This privacy statement covers the processing of all personal data that is processed by the HSI when you attend an HSI workshop at a Lighthouse Center®. In a workshop you will get the chance to explore the ideals of the society as well as get an insight into the teachings of Sant Mat. When attending the workshop, the following personal data is processed:

 

Identifying personal data – This is data that enables the HSI to identify you. This type of information is also used by the HSI to communicate with you or, when needed, emergency contacts. When attending an HSI workshop, the following identifying personal data is processed:


Name;

Address;

Email address;

Telephone number;

Gender;

Language;

Date of birth.

Your identifying personal data will be used only for the following purposes when visiting an HSI workshop:

Your information will be used to check the attendance list of the workshop you visit and address any questions you may have or have had during your presence at the workshop.

 

Travel logistics, itineraries and meals – Information about your travel schedule when visiting the workshop.

Arrival/departure date & time;
Travel arrangements between public transportation and the Lighthouse Center® (e.g. pick up service);
Choice of meals: Vegetarian, vegan, gluten-free.

 

Personal data concerning health status – HSI workshops are held at remote locations; therefore the HSI needs to be aware of your physical and mental condition. When attending an HSI workshop, the following data concerning health status is processed:

 

Physical handicaps / limitations plus any medication you may use for that matter;
Mental handicaps / limitations or sudden behavioral changes plus any medication you may use for that matter;
Allergies;
Dietary requirements prescribed by a medical doctor.

The personal data about your health status are only used to see if you are fit enough to attend to a workshop, participate in activities and to accommodate your needs during your stay.

 

Emergency contacts:

Contact(s) next of kin;

Name of physician (if needed).

The lawful basis for the processing of your personal data is based on the agreement between you and the HSI for attending the workshop.

 

  1. How long is your personal data stored by the HSI?

You can always “unsubscribe” from information that you receive via email from the HSI. If you want to be deleted from all HSI files and databases, you can contact the HSI as described in section 7.

Attendance lists will be deleted latest 3 months after the workshop has finished.

 

  1. Will your personal data be shared with other third parties?

Your personal data – first name, last name – collected for the purpose of visiting a workshop will be shared with the national representative of your country.

 

  1. How does the HSI protect your personal data?

The HSI has implemented technical and organizational measures to safeguard the confidentiality, integrity and availability of your personal data.

Technical measures – The HSI has implemented an information security policy that will minimize the risks of processing your personal data with regards to confidentiality, integrity and availability. The HSI uses google drive to store your data (access from the United States is possible).

Organizational measures – All volunteers who process personal data within the HSI do so according to the HSI privacy code of conduct.

Data breaches – The HSI will notify the competent data privacy authority in case a data breach occurs. The HSI will also contact you without undue delay if the data breach can result in severe disadvantages on your behalf in order to minimize possible damage.

Help us to keep your data safe – The chance that a data breach occurs can never be eliminated, despite all the measures the HSI has implemented. In case you have the feeling that something is wrong with the way we process your data, please contact us immediately.

 

  1. How can you access, rectify or erase your personal data?

Right of access: You have the right to ask the HSI to provide you with an overview of all your personal data that is processed by the HSI. This request needs to be done in writing or via email.

The HSI will send the requested information to you as soon as possible with a maximum of 4 weeks. This will be done free of charge.

Right to rectification: Based on the information that the HSI will send you when exercising your right of access, you ask the HSI to rectify your personal data. This is when your personal data is factually wrong.

Right to erasure: You can ask the HSI to remove specific or all your personal data from their files. When exercising these rights, you need to take into consideration that the HSI may not be able to erase all your personal data. For some personal information, the HSI needs to follow a lawful retention period.
